Some ideas on the redesign of mydms/filemanager. To make the document
handling system fully relational, it would be nice to be able to
associate a date with the documents, associate documents with projects,
categorize the documents, associate the documents with people in the
addressbook, associate the documents with related files and flag
documents as important for filtering purposes. The new dms should be
able to work with documents that already exist in electronic/digital
form or those that are only in paper form and are not yet in electronic
form. Nobody handles more paper than lawyers.
Fields I routinely use when databasing documents are:
doc_date
*filename
*doc_name
topic
*comment/description
*keywords
doc_type (fax, e-mail, letter, photo, etc…)
file_format (gif, jpeg, oo doc, word, etc…)
created_by
to
from
date_sent
date_received
received_by
delivery_method (certified, UPS, FedEx, etc…)
related_persons (Joe, Donna, Ralf, etc…)
related_files (links to Drawing 1, etc…)
project (egw project)
category (egw category)
assigned_to (egw user or group)
important (or hotdoc)
response_due (due_date or deadline to respond)
doc_location (server 1, storage area A, etc…)
is_digital (or is_scanned)
The current *expires and *sequence are fine as well
The present egw fields are marked with a * above. A truly flexible dms
would be fantastic. Another great idea would be the option of overlay
project documents on a calendar with a “show docs on calendar” feature
that you could turn on and off that would allow a clear calendar
representation of the actual document sequence.
These are just thoughts for the redesign. I have no idea where current
dms development stands or how difficult this would be, but for managing
project documents that sometimes number 60,000 per project, a robust dms
is a great asset. The more integrated with the current project, category
and addressbook, the better. This greatly helps reduce the amount of
duplicated information required to manage documents as well.
