E-Mail-Vorlage mit Platzhalter erstellen/verwenden
EGroupware provides all database fields as placeholders for various administrations:
- E-mail templates
- Office documents (text/table/presentation)
- E-mail signature
Creating email templates always follows the same pattern:
- Create email with placeholders
- Save email draft in the EGroupware file manager
- Use email from EGroupware applications
In detail:
- Create email with placeholders
Compose an email: Create new or also use existing templates.
In the application, select “Placeholder” from the side menu:
Copy the required placeholders and paste them into the email.
Some functions such as if-then-else are also provided.
- Save email draft in the EGroupware file manager
Save the composed e-mail in the EGroupware file manager:
Directly from the e-mail compose window:
All templates are stored under
/templates/application
stored.
The templates can be structured by folders in the file manager.
(Or alternatively save e-mail as .eml on the computer and then upload it in the EGroupware file manager).
This way, the e-mail template can be changed again and again and tested directly from the application.
The e-mail template can be easily opened again later from the file manager.
- Use email from EGroupware applications
The template can now be used, for example, from the address book:
Select the contact and choose the template from the context menu:
An email compose window will now open with the replaced placeholders.

admin rights are required:
The permissions of these folders can be changed/extended by extended access rights in the EGroupware data manager. However, this should only be done in exceptional cases. Not every user should be able to work in this area. The handling of templates should be regulated organisationally.

Further permissions can be found in the settings of the application:
In this way, a further directory can be specified in which templates can be saved. Read and write rights should then be available there through personal or group rights. In this way, not all employees receive all templates. As a rule, this should be done on a group/team basis.
This standard procedure can be changed/extended by programming (buttons, functions, …).

In the EPL version, e-mail templates can also be used to automatically write to contacts based on guidelines. For example, to ask recipients to check/complete/correct their contact data or to obtain consent for data processing.
